The Share feature lets you send the full details of any project or building permit to someone by email — directly from Yellow Sheet. It is a quick way to pass a lead to a colleague, loop in a partner, or show a client what is coming up in their area. The recipient gets everything in one email: project description, location, stage, budget, and a map. No login required on their end.
How to Share a Project
Find the project or building permit you want to share — for example, from your saved search results or while browsing the data.
Click the Share button on the project row. A window will open showing the project reference information.
Enter the recipient's Email address.
Optionally, add a message in the Notes field — for example, a quick note about why you are sending it or what to look at.
Click Submit. You will see a confirmation that the email was sent.
What the Recipient Sees
The email contains the full project record, so there is no need to copy and paste anything yourself. It includes:
Project title (district, address, and project type)
Project stage (for example, Working Drawings or Construction Start)
YS Reference Number
Project description
Budget, if available
Location details
A map showing where the project is located
Your notes, if you added any
Your email address, so the recipient knows who sent it
Tips
Use the Notes field to add context. A short note like “This one looks like a good fit for us — worth reaching out to the GC” saves the recipient from having to figure out why you sent it.
Share with people who are not on Yellow Sheet. The email is self-contained, so non-subscribers get the full picture. It is a natural way to introduce contacts to the service.
You can share up to 20 projects per day. The limit resets each day, so if you are working through a large list, you can continue the next morning.
